Job Title: Practice Administrator

Reports to: CEO

Supervises: Office and Clinical Managers, Surgery Scheduling, Bookkeeper and Call Center Staff

Status: Full Time Salaried Position

BCOS is currently a 16 provider multiple specialty independent practice(s) that includes orthopedics, sports medicine, joints, back/neck, pain management, hand, pediatric orthopedics, physical therapy and concussion care.

Job Summary

Bucks County Orthopedic Specialists is seeking a Practice Administrator to be integral part of the management team. This position is responsible for providing leadership and management to a staff of 75 people to ensure that the practices strategic goals, objectives and mission are met. This position works with physician shareholders, CEO, practice staff, referral sources, vendors, consultants, payers, and hospital administration. The Practice Administrator is responsible for the overall operational and financial performance of the company.

Duties and Responsibilities include the following:

Human Resources

Responsible for the payroll and all payroll services.

Responsible for all human resource activities including recruitment and hiring for all vacant positions.

Employee Benefits including yearly negotiations and plan implementations

Ensure appropriate training of new and existing personnel and providers to ensure competency and staff satisfaction.

Works with CEO and managers to develop annual staff salary plans and bonuses.

Assists supervisors with the management of personnel Issues.

Develop and maintain corporate policies and employee handbook. Must stay up to date on employment law and human resource requirements to ensure practice complies with all federal and state laws.

Administers all employee benefit plans and PTO.

Ensure timely staff training on HIPPA and OSHA

Office and Surgical Scheduling

Responsible for managing the call center staff and the patient intake and referral process.

Responsible for managing the clinical providers office and surgical schedules maximizing efficiencies while meeting patient demands.

Responsible for managing the surgical schedulers to ensure that patients are scheduled in the appropriate venue on a timely and efficient basis.

Facility Management

Administrative responsibility for all operational locations.  

Oversees all facility management including janitorial, utilities, waste management, HVAC, plumbing, electrical and maintenance where and when needed.

Billing and Collections

Responsible for Revenue Cycle Management of company.

Responsible for managing outside billing company with billing, collections and chart auditing.

Working with BCOS staff to ensure all medical documentation is completed in a timely manner and sent to outside billing company for processing.


Responsible for Accounts Payable and all accounts payable services.

Administrative responsibility for ordering all supplies, office and medical. Contract with appropriate vendors as necessary to ensure supplies are on hand.

Direct input of biweekly payroll into QuickBooks.

Responsible for implementing cash management practices over operating and saving accounts.

Responsible for day to management of companies bookkeeper.

Responsible for working with outside CPA to ensure that financial records accurately reflect the results of the company, and that all state, local and federal tax return are filed in a timely manner.

Management Information Systems

Corporate person responsible for Electronic Medical Records System and Practice Management Systems (ECW) that is hosted and managed by local hospital.

Working with outside IT vendor to ensure maintenance of all workstations, laptops, servers, storage arrays, wireless connections, and switches.

Payer Insurance Contracting

Ensure all payer contracts are up to date and working with CEO to negotiation with payers on an as needed basis.

General Insurance

 Ensure group coverage is current, including umbrella coverage and Fraud and Audit insurance is current.

 Ensure malpractice coverage for all physicians, NP’s and Staff are current.

Advertising and Patient Satisfaction

Working with the CEO, Marketing Director and outside social media company to implement and monitor social media endeavors.

Monitoring, responding and resolving patient’s social media posting and surveys

Executive Meetings

Responsible for the coordination of monthly partner meeting as well as preparing minutes.   


Education, Experience and Skills

Minimum Qualifications required are a Bachelor’s Degree in Business or Health Administration or related field, Master’s Degree preferred. A minimum of 10 years’ experience with group practice management with multiple locations. Orthopedic experience strongly preferred.

Must be self-motivated individual who can organize, lead, and manage a fast-paced growth-oriented management company. Must be able to effectively communicate both verbally and in writing with partners, office staff, hospital administration, referring physicians, health care professionals, and consultants.

Must be skilled at reading and interpreting financial statements, and other basic accounting practices.

Ability to handle sensitive information in a confidential and professional manner and must demonstrate tact, diplomacy and good judgement in all dealings.

Must possess a detailed knowledge of Information Technology Systems. Multiple interfaces with Electronic Medical Records and ancillary support software

 Must possess excellent written and communication skills
